Expiry dates stop being something you find out late
A lapsed licence is a car off the road and sometimes a fine. Myfleet reads the expiry date from the file itself, shows it where it gets seen, and warns before the date arrives. A person always confirms the date.
Three sets, three owners
Who owns each document decides what happens to it when somebody leaves.
-
The driver's
ID card, driving licence, criminal record, TVDE licence and proof of address. They are theirs — if they change company, these go with them and do not have to be uploaded again.
-
The vehicle's
Insurance, roadworthiness test, the TVDE sticker. They live on the vehicle's record, with the expiry date in plain sight — and the vehicle belongs to the fleet, not to whoever drives it this week.
-
The company's
Company registration, TVDE licence and, for Tours, the RNAAT permit. These are the ones the dashboard asks for at the very start, because without them some things stay unavailable.
The date is read, then confirmed
-
The file is uploaded
A photo or a PDF. Nothing is typed in.
-
The date is read from the document
Where it is found, it comes back already filled in. A European ID card has thirty fields and the right date is one of them — that is the part being saved.
-
A person confirms or corrects it
And this is what makes the difference. The reading fills in; the person looking at the document decides. Only once confirmed is the date saved.
-
The warning comes early
Before it lapses, the driver is told to upload the new one. The deadline does not show up on the day it is already too late.
Who reads the documents
The reading is done by an artificial intelligence model, from Anthropic, to which the file is sent. It is written in the Privacy Policy, with what goes to it and what does not.
We say it here and not only there for a simple reason: an identity document is an identity document. Whoever uploads one has a right to know where it goes — and none of this data is used to train models.
What this does not do
- It does not renew anything. It warns that a date is coming; dealing with the renewal is up to whoever it always was.
- It does not verify that a document is genuine. It reads what is there. Confirming that a document is authentic is not something a website should claim to do.
- It does not save a date without someone confirming it. The reading fills the field; saving is a person's action.
- It does not stop anyone driving. The platform shows and warns. Putting a car on the road or not is the operator's decision.
