Trips come in, and they add up

Bolt is connected once and then runs on its own. Uber is imported once a week. Either way the figures are checked before they go in — because one cent wrong here is a wrong settlement at the end of the week.

The two platforms do not work the same way

And anyone telling you otherwise is selling you something that does not exist. The difference is Uber's and Bolt's, not ours.

  • Bolt — connected once

In the Bolt Fleet portal you generate your fleet's API credentials — an identifier and a key. You paste them into Myfleet once and from then on the trips come in on their own. Pick a period and import.

  • Uber — once a week

Uber grants API access to fleets that apply and are approved as vehicle suppliers, and approval depends on the size of the fleet. Until then you export five reports from Fleet Hub and drop all five in at once.

The Uber week, step by step

  1. Generate the five reports, same week

In Fleet Hub: Trip activity, Payments transactions, Driver payments, Driver time and distance and Driver status. It has to be all five, and all from the same week.

  2. Download them — and do not open them in Excel

This is not a detail. On saving, Excel rewrites the files and they stop being recognised. Download them and leave them alone.

  3. Drop all five in at once

Under Imports, on the Uber card, “Import the week”. You pick the five together — they are not imported one at a time.

  4. Check the summary and import

Before anything is saved, Myfleet cross-checks the five files against each other, to the cent. If they do not agree, it tells you where instead of saving a crooked week.

Drivers who are not on Myfleet yet

It is the commonest case on a first import, and it has a designed answer rather than an error message.

When an import brings in trips from someone who is not in your fleet yet, a window opens with those people. For each one there are two ways out:

  • Invite — the email that came from the platform is filled in and you can correct it. The driver is registered, their trips go in straight away, and the invitation goes out by email.
  • Do not register — their trips do not come in this time. If the next import brings them again, it asks again.

Drivers already registered are recognised on their own, by email or phone number. Each driver has one account per platform.

What importing does not do

  • Uber does not come in on its own, today. The vehicle suppliers API exists and is granted to fleets that are approved — approval depends on fleet size and is not immediate. Until you have it, it is the file.
  • It does not invent what is missing. If the five reports do not agree, the import stops and says where. We would rather refuse an import than save a week that is a cent short.
  • It does not scrape the drivers' apps. Some people do that, against the platforms' terms and with code that breaks at every app update. Not this way.
  • It does not guess who is who. A driver showing up under a different email is a new person until somebody says otherwise.

Questions people ask

Why five files and not one?

Because that is how Fleet Hub gives them. One has the trips, another the payments, another the hours. We ask for all five because together they can be checked: what one says has to agree with what the others say.

Can I import the same week twice?

You can. Trips are recognised by the identifier the platform gives them, so importing again does not duplicate them — it updates whatever changed.

What if my fleet only works with one platform?

It works just the same. Nothing requires both to be connected, and the settlement is made with whatever there is.

When does Uber start coming in on its own?

When your fleet is approved by Uber as a vehicle supplier. It is an application, it depends on size, and we have no way of speeding it up. When it happens, it moves from file to automatic without anything else changing.
